BeeRoster privacy and data handling
BeeRoster stores and uses information needed to provide rostering, employee access, time tracking, job tracking, payroll preparation, and Xero integration features.
Information BeeRoster may store
- Business account and configuration details.
- Employee names, contact details, payroll identifiers, availability, leave requests, documents, and timesheet-related records.
- Roster, shift, job, clock event, note, attachment, audit, and notification records.
- Xero tenant details, employee mapping IDs, earnings rate mapping IDs, export logs, and encrypted OAuth tokens when Xero is connected.
How information is used
- To operate rostering, employee portal, time tracking, job tracking, and timesheet review workflows.
- To send roster, notification, verification, and support messages when configured.
- To prepare wage estimates and export reviewed timesheet data to Xero Payroll AU when authorised by the customer.
- To troubleshoot, audit, secure, and improve the service.
Xero integration data
When a customer connects Xero, BeeRoster uses OAuth access approved by that customer to read relevant payroll setup data, such as employees and earnings rates, and to send approved timesheet data selected by the customer. OAuth access and refresh tokens are stored encrypted at rest and are not shown in admin pages or logs.
Security and access
- Administrative access is intended for authorised business users only.
- Employee self-service access is limited to employee-facing workflows.
- Sensitive OAuth tokens and secrets should never be shared through screenshots or support messages.
- Customers should review payroll in Xero before approval and should keep their BeeRoster and Xero user access current.
