Xero Payroll AU integration

Connect BeeRoster to Xero for reviewed timesheet exports.

BeeRoster connects to Xero using OAuth. Customers approve access to their own Xero organisation from inside BeeRoster, without needing to create their own Xero developer app.

What BeeRoster sends to Xero

BeeRoster sends approved weekly timesheet data to Xero Payroll AU as draft/checkable timesheets for payroll review.

What BeeRoster reads from Xero

BeeRoster reads existing Xero Payroll AU employees and earnings rates so local employees and pay items can be matched safely before export.

What BeeRoster does not do

BeeRoster does not create employees in Xero, create pay runs, approve payroll, or replace final payroll review in Xero.

Token handling

OAuth access and refresh tokens are stored encrypted at rest in BeeRoster and are not displayed in admin pages or logs.

How to connect Xero

  1. Sign in to BeeRoster as an administrator.
  2. Open Settings → Xero Integration.
  3. Select Connect to Xero or Reconnect.
  4. Sign in to Xero and approve access to the correct organisation.
  5. Return to BeeRoster and confirm the connection status shows the tenant name, tenant ID, and token expiry time.
  6. Run the Xero diagnostics, employee matching, pay item sync, and readiness checks before exporting timesheets.

Recommended checks before export

  • Confirm employees are mapped to the correct Xero employee IDs.
  • Confirm BeeRoster pay codes match active/current Xero earnings rates.
  • Review approved timesheets for the selected week.
  • Run the readiness check and resolve any blocking warnings.
  • Export selected approved timesheets, then review and approve payroll in Xero.
Payroll note: BeeRoster provides wage estimates, award classification tools, and Xero timesheet export support for rostering guidance and payroll preparation only. Final payroll must be reviewed in Xero and checked against applicable award obligations.
