BeeRoster terms and conditions
These terms outline the expected use of BeeRoster for rostering, employee access, time tracking, job tracking, payroll preparation, and Xero integration workflows.
1. About BeeRoster
BeeRoster is a web-based rostering and payroll preparation system for small teams. It includes tools for rosters, employee self-service, clock events, timesheet review, wage estimates, job tracking, notifications, documents, and Xero Payroll AU preparation.
2. Customer responsibilities
- Customers are responsible for ensuring business, employee, payroll, award, wage, roster, job, and Xero settings are accurate and kept up to date.
- Customers must only give BeeRoster access to authorised users and should promptly remove access for users who no longer require it.
- Customers are responsible for reviewing all rosters, timesheets, wage estimates, exports, and payroll information before relying on them.
- Customers must ensure their use of BeeRoster complies with applicable workplace, privacy, payroll, tax, superannuation, record keeping, and employment obligations.
3. Payroll disclaimer
BeeRoster provides wage estimates, award classification tools, and Xero timesheet export support for rostering guidance and payroll preparation only. Final payroll must be reviewed in Xero and checked against applicable award obligations. BeeRoster does not replace payroll, accounting, employment law, tax, superannuation, or Fair Work advice.
4. Xero integration
- When a customer connects Xero, BeeRoster uses the customer's authorised OAuth access to read relevant Xero Payroll AU employees and earnings rates, and to send selected approved timesheet data to Xero.
- BeeRoster does not create Xero employees, create pay runs, approve payroll, or replace final payroll review in Xero.
- Xero remains the payroll source of truth. Customers must review and approve payroll in Xero before paying employees.
- Customers can disconnect Xero from the BeeRoster Xero Integration page or by managing connected apps inside Xero.
5. Data and privacy
BeeRoster stores information needed to provide the service, including business settings, employee records, rosters, clock events, timesheets, job records, notes, documents, notification logs, audit records, and Xero integration records. More information is available on the Privacy page.
6. Availability, support, and changes
- BeeRoster aims to provide a reliable service, but availability can be affected by maintenance, hosting, internet, SMS/email providers, Xero, customer configuration, or other third-party systems.
- Support is available through the Support page. Customers should avoid sending passwords, client secrets, OAuth tokens, or unnecessary sensitive payroll information through support messages.
- BeeRoster may change features, pricing, configuration requirements, or these terms as the service develops.
7. Limits of liability
To the extent permitted by law, BeeRoster is provided as a rostering and payroll preparation tool, and customers remain responsible for reviewing outputs before using them for payroll, employment decisions, invoicing, reporting, or operational decisions. BeeRoster is not responsible for losses caused by incorrect customer configuration, incorrect payroll settings, incorrect Xero setup, unreviewed exports, third-party service outages, or failure to meet legal or payroll obligations.
